Accounting and Payroll Support for Transport Businesses

Practical financial control for South African trucking, courier, fleet and logistics operators—from load profitability and fuel reconciliation to driver payroll, VAT and SARS submissions.

Know what each vehicle, load and route really earns

Transport businesses often pay for diesel, tolls, wages, repairs and subcontractors weeks before a customer settles an invoice. Orion Moon structures your accounting so that revenue and direct costs can be reviewed by vehicle, customer, route, branch or contract—not only as one total at month-end.

Transport accounting and management reporting

Load and route profitability: compare freight income with fuel, tolls, driver costs, subcontractor charges and other direct trip expenses.
Fleet cost control: maintain records for vehicle finance, depreciation, licences, insurance, tyres, repairs and scheduled maintenance.
Fuel reconciliation: match supplier invoices and fuel-card activity to vehicles and operating records, then investigate unusual consumption or duplicate transactions.
Proof-of-delivery to invoice: strengthen the handover from completed delivery to customer billing and reduce invoices delayed by missing PODs or rate information.
Debtors and cash flow: monitor customer terms, overdue accounts and the funding gap created when operating costs fall due before freight invoices are paid.

Driver payroll and employer compliance

We help prepare and review payroll inputs for ordinary hours, overtime, Sundays, public holidays, leave and agreed allowances. The process is aligned to the employment terms and bargaining-council or sector requirements that apply to your operation. Payroll reporting can include PAYE, UIF and SDL, EMP201 reconciliations and EMP501 preparation.

We also help organise driver files, contracts, leave records, disciplinary documentation and COIDA information. Wage rates and conditions change, so the applicable agreement and current published requirements must be confirmed for each employer and employee category.

Questions transport operators often ask

How can I tell whether a specific load is profitable?

Allocate the agreed freight revenue and identifiable trip costs—such as diesel, tolls, driver-related costs and subcontractor charges—to the same load or route. Then compare the resulting contribution with standing fleet costs such as finance, insurance and administration.

Can Orion Moon reconcile fuel usage?

Yes. We can reconcile fuel invoices and card transactions to accounting and vehicle records and report exceptions. Reliable litres-per-kilometre analysis depends on accurate odometer, fuel and vehicle-allocation data from your fleet or tracking system.

Do you replace fleet tracking or dispatch software?

No. We use the operational reports produced by your dispatch, tracking, fuel-card or fleet systems to improve accounting and management reporting. Vehicle scheduling, tracking, permits and road-safety management remain operational responsibilities.

Do the same payroll rules apply to every driver?

Not necessarily. Pay conditions can depend on the employee's duties, area, employment agreement and any applicable collective or bargaining-council requirements. We review the records available and flag areas that require specialist labour-law or council confirmation.
