Payroll, contractors and tax administration

We support monthly payroll records for salaries, bonuses, commissions, leave and reimbursements, together with PAYE, UIF and SDL reporting, EMP201 reconciliations and EMP501 preparation. Contractor and freelancer invoices can be checked against agreements, projects and approvals, with unusual or incomplete records flagged before payment.

VAT and income-tax work is organised around the firm's billing model, valid supporting documents and the timing reflected in its records. This can include VAT reconciliations, provisional-tax estimates, deductible business expenses, fixed assets and director or shareholder loan-account reviews.

How do we know whether a project is profitable?

Start with the contracted fee and approved variations, then allocate employee time at an agreed cost rate, contractor invoices and direct project expenses. Compare actual margin with the proposal and investigate overruns, write-offs and work completed outside scope.

What is work in progress in a professional firm?

Work in progress generally refers to time or project costs incurred for client work that has not yet been invoiced. Its accounting treatment depends on the contract and applicable reporting framework, so the WIP schedule should reconcile to projects, billing milestones and the general ledger.

Can Orion Moon work with our time-tracking or practice-management system?

Yes. Reports from your operational system can be reconciled to invoices and accounting records. The quality of utilisation and project-margin reporting depends on consistent time capture, project codes, cost rates and billing data.

Should freelancers always be treated as independent contractors?

No. A label or invoice does not by itself determine the relationship. The actual working arrangement and current tax and labour requirements should be reviewed, particularly where a person works mainly for one firm or operates similarly to an employee.
